Job Description Kelly Services is hiring an Executive Assistant / Client Care Manager for our client in Santa Cruz. This client is seeking an executive assistant for a busy, successful, real estate team. In addition to executive assistant duties, this person will be responsible for transaction management and coordination, database management, client care, online and occasional after hours networking. This is a temp to hire opportunity with a pay rate of 22.00 :24.00 per hour (DOE). The hours are Monday : Friday, 8:00 am to 5:00 pm.The following skills, qualifications and expertise is desired:Experience and a proven track record of success in an administrative capacity for an executive team or a real estate team is strongly preferred but not required for the right TALENTED, ambitious individual. Post:Secondary Degree preferred but not required. CA Real Estate License preferred but not required. You must know your way around the Microsoft Office Suite (especially Outlook and Excel), Photoshop Elements, Adobe Acrobat, Top Producer (or other CRM) and be comfortable with new technology, web based programs and social media.Responsibilities include: Some or all of the following:Executive Assistant: Answer phones and check/answer email. Serve as the first point of contact for incoming calls and able to effectively screen, track and route leads in a timely manner to the appropriate team member : Maintain all filing systems, client files and computer databases, as well as track all production numbers (closed sales, goals, lead sources, etc.): Maintain an executive calendar: Maintain detailed operations manual: Prepare contract documents for all buyer and seller client files: Print, bind and send Marketing Packages and Buyer materials when applicable, which often includes writing a cover letter: Create agenda for weekly team meeting : Create and maintain website content: Create graphic design layouts and edit photos: Create marketing materials and execute initiatives: Create and analyze market statistics: Manage multiple websites and all the marketing activity: Manage listings, including enter data on MLS, upload disclosures, upload photos, order signs, etc. Transaction Coordination and Client Care Management: Work with various third parties to ensure all details necessary for a :complete: file have been obtained: Communicate with clients to inform them about what is going on throughout the transaction process : Uses checklists and reminders to ensure all details are taken care of when due: Communicate with clients so they are educated on what they will need to bring to closing: Send weekly feedback reports to sellersNetworking, Continuing Education and Community Involvement: Schedule and attend periodic training: Some after hours networking, and community events (Chamber, etc).
